Job description

We seek an experienced Executive Administrative Assistant to provide support for our EVP of Sales and Marketing. The successful candidate will have a demonstrated ability to interact with staff at all levels while remaining proactive and resourceful with a high degree of professionalism.

Responsibilities:

  • Calendar Management: Managing EVP's calendar and daily schedule to include prioritizing conflicting meeting requests, tracking action items and commitments
  • Plan and coordinate off-site meetings and team events
  • Travel and Expense Management: Responsible for making in-depth domestic and international travel arrangements and preparation of associated expense reports
  • Provide administrative support for visiting Executives, including the CEO
  • Respond quickly and efficiently to all forms of communication (email, text, phone)
  • Daily presence in the office with the willingness to respond after hours due to multiple time zone coverage and support required for travel schedules
  • Attend team meetings as requested, and other tasks as assigned by the Executive
  • Candidate will be exposed to and will deal professionally with highly sensitive and confidential matters and materials.

Profile

Associate Degree, or equivalent experience, with minimum of 8 years’ experience, with a minimum of 4 years at the Executive level

Must be able to make decisions and work independently with little to no supervision.

Must be well organized, detail oriented and have strong time-management skills.

Ability to identify critical issues quickly and navigate priorities based on last minute changes.

Excellent verbal and written communication skills including the ability to communicate with all levels of Executive/Senior staff, Customers and Business

Partners

Proficient in Microsoft Office 365 (Word, PowerPoint, Excel, Outlook, Teams), Adobe Acrobat and Yammer
